OFFICE & MEMBERSHIP MANAGER JOB DESCRIPTION

We are looking for an experienced Office and Membership Manager with a “can-do” attitude to assist our organization with operations in HCM city. Core remits cover membership, events, and advocacy.

RESPONSIBILITIES

  • Administrative and Procedural Management: This includes planning and coordinating administrative procedures, streamlining processes, and handling other miscellaneous administrative tasks.
  • Board Support and Coordination: Providing administrative and secretarial support to the Board, managing schedules and deadlines, preparing for monthly Board meetings, and taking meeting minutes.
  • Financial and Bookkeeping tasks: Monitoring costs and expenses for budget preparation, assisting the Treasurer with payroll and other payments, preparing invoices, managing pending payments from members and bookkeeping duties via Quickbooks.
  • Membership Management and Coordination: Recruiting and onboarding new members, maintaining up-to-date membership information on GlueUp, and managing communication and coordination with EuroCham regarding memberships types and sharing fees.
  • Human Resources Administration: Being the main contact for HR tasks through Tricor, including updates on annual leave, staff information, and documentation.
  • Vendor and Member Relations: Creating and providing documentation for vendor accounts as requested by members.

Required education and working experience:

  • Proven experience as administration manager
  • In-depth understanding of office management procedures and departmental and legal policies
  • Proficient in MS Office
  • English fluency is a must
  • Has working experience with Chamber of Commerce is a plus
  • Has experience in working with Quickbooks is a plus
  • Strong accounting background
